Microsoft Teams: Meeting Recordings, Transcripts and AI Summaries
Microsoft Teams meetings may be recorded, transcribed or both, depending on the meeting configuration selected by the organiser.
When recording or transcription starts, participants will see an on screen notification banner indicating that these features are active, in line with Microsoft’s in meeting notification design. In addition, some meetings may use AI enabled features, to
generate summaries or insights. These features may capture and process audio, video, screen content and spoken contributions for the purpose of supporting collaboration, record keeping and organisational workflows.
Lawful basis of processing
For this processing activity we rely on your consent, which you provide when the meeting starts.
Data retention
Recordings will be retained for a period of 60 days. The transcript and AI summary will be retained, in accordance with our data retention and destruction policy, dependent on their storage location, for as long as we need to in order to fulfil the purpose,
we collected it for. This may be for an ongoing purpose, e.g., we will retain your personal data for the duration of our business relationship with you and beyond.
Data sharing, use of the data and your rights
Any output produced during the meeting will be used to support Reed in delivering its services.
